Commercial Invoice

A customs document declaring the value, quantity, and description of goods shipped internationally, serving as the primary basis for customs duty calculation and import clearance.

A commercial invoice is one of the most important documents in international trade. It is issued by the seller (exporter) to the buyer (importer) and serves as the primary customs document for determining the value of goods, calculating import duties and taxes, and clearing shipments through customs. A commercial invoice typically contains the seller and buyer details, a description of the goods, quantities, unit prices, total value, currency, terms of sale (Incoterms), country of origin, and HS codes. Customs authorities rely on commercial invoices to assess duties, verify declared values, and enforce trade compliance regulations.

For freight forwarders, commercial invoices are processed in enormous volumes. Every international shipment requires one, and each invoice must be reviewed, its data extracted, and the relevant fields entered into the TMS and customs declaration systems. When invoices arrive as part of large document bundles — mixed with packing lists, bills of lading, and certificates — the manual extraction and data entry process consumes significant operator time. Invoice formats vary widely across suppliers and countries, adding another layer of complexity to an already tedious process.

FreightMynd's document intelligence and smart invoice processing systems automate commercial invoice handling end to end. AI extraction engines identify commercial invoices within mixed document batches, extract all structured fields (values, quantities, descriptions, HS codes, party details), validate the data against business rules and shipment records, and push clean data into your TMS and customs systems. The system handles format variations across thousands of suppliers automatically — no templates or manual configuration required per new supplier.
